Controller
ESSENTIAL DUTIES/FUNCTIONS:
- Works with the Director of Finance to plan, develop, and implement fiscal policies, goals, procedures, and controls in accordance with GAAP and government regulations.
- Ensures legal and regulatory compliance for all accounting and financial reporting functions.
- Oversees compliance with nonprofit accounting standards and reporting requirements.
- Oversees cost accounting, general accounting, accounts receivable/collections, accounts payable, fixed assets, inventory, and risk management.
- Manages and ensures timely reporting of all financial transactions.
- Assists the Director of Finance in preparing for annual audits, including schedules, supporting documentation, and coordination with auditors.
- Supports daily cash-flow management to ensure adequate funding for operations and long-term needs.
- Oversee bank reconciliations and banking relationships with financial institutions.
- Provides timely budgetary reports to the Director of Finance and respective personnel.
- Ensures adherence to budget guidelines and assists in communicating financial concerns.
- Works with the President’s Office and insurance broker to ensure adequate liability coverage.
- Works with the President’s Office on matters such as property taxes and contracts.
- As directed by the Director of Finance, with bankers on banking issues.
- Works with the Development Office to ensure proper recording and treatment of gifts and grants.
- Works with Financial Aid and Scholarship Coordinator on financial aid, and scholarship endowment processes.
- Works with the Director of Technology on financial systems, including annual year-end system rollover.
- Leads the Business Office employees (GL accountant, Accounts Receivable, Accounts Payable), ensuring duties are performed and work schedules are kept (if needed), and gives input on evaluating performance and leave requests.
- In the absence of the Director of Finance, interacts with senior leadership to explain financial concerns and ensure budget compliance.
- Works with families in ensuring the timely payment of school bills through various communication channels.
- Serves on the safety committee and may serve as chair when assigned.
- Supports the annual PTF Fun Fair, including planning and financial collections.

Elementary Admissions Specialist

PRIMARY PURPOSE: Hawaii Baptist Academy is seeking a personable, organized, and mission-minded Admissions Officer to join our Enrollment Management and Admissions team. The Admissions Officer plays an important role in welcoming prospective students and families to the HBA community and guiding them through each stage of the admissions process. This position works closely with students, parents, faculty, administrators, and other members of the HBA community to ensure that applicants and their families receive a warm, responsive, and well-organized experience from initial inquiry through enrollment. The ideal candidate will demonstrate excellent communication and organizational skills, sound judgment, attention to detail, and a genuine commitment to supporting HBA’s mission and the success of our students.
ESSENTIAL DUTIES/FUNCTIONS:
- Support the Director of Enrollment Management in the effective administration of the K–12 admissions program, with primary responsibility for coordinating the admissions process for Elementary applicants.
- Manage and monitor Elementary applications, required documentation, admissions timelines, testing schedules, interviews, evaluations, and enrollment requirements to ensure that each applicant progresses through the process in a timely and organized manner.
- Maintain accurate and confidential applicant records and ensure that admissions information is complete and appropriately documented within the admissions system.
- Coordinate applicant visits, classroom observations, assessments, interviews, and evaluation activities with teachers, administrators, and other HBA personnel, ensuring that all participants have the necessary information and materials in advance.
- Prepare applicant information and materials for evaluation and admissions discussions. Ensure that faculty and administrators have the appropriate information needed to provide meaningful feedback to the Director of Enrollment Management & Admissions.

- Explain admissions requirements, timelines, testing procedures, interview expectations, enrollment steps, and other relevant information to prospective families.
- Communicate applicant status and next steps to families in accordance with established admissions procedures and under the direction of the Director of Enrollment Management & Admissions.
- Support the Director of Enrollment Management & Admissions in communicating admissions decisions to families and provide appropriate follow-up and guidance regarding next steps.
- Communicate with families whose children are not offered admission with professionalism, empathy, and discretion, helping families understand the process and providing appropriate information regarding next steps.
- Coordinate the enrollment and contract process for accepted students, including required documentation, deadlines, communications, and follow-up.
- Support the transition of newly enrolled students by coordinating visitation opportunities, orientation activities, and other new student programs.
- Serve as a key liaison between the Admissions Office and Elementary faculty and staff for applicant-related activities, helping to streamline communication and reduce the administrative demands placed on teachers and administrators.
- Coordinate schedules and logistics with teachers and administrators for applicant assessments, classroom visits, observations, interviews, and evaluation activities.
- Collect and organize faculty and administrator feedback for review by the Director of Enrollment Management & Admissions.
- Prepare materials and information for admissions meetings and decision-making discussions while recognizing that final admissions decisions are made by the Director of Enrollment Management & Admissions in consultation with appropriate faculty and administrators.
- Maintain appropriate confidentiality and discretion when handling applicant records, assessment results, family information, and admissions decisions.
- Serve as the Elementary campus representative on the Financial Aid Committee and assist with the administrative coordination of financial aid-related activities as assigned.
- Support the Director of Enrollment Management & Admissions in collaborating with the Marketing and Communications team on admissions materials, advertisements, brochures, videos, presentations, displays, and other resources that communicate HBA's academic programs, student experience, and Christian mission.
- Assist with the preparation of enrollment and admissions information used in communications with prospective families, current families, faculty, administrators, and school leadership.
- Support the Director of Enrollment Management & Admissions in providing accurate enrollment information and data for discussions with the HBA Senior Leadership Team, including enrollment projections, student counts, and related planning information.
- Collaborate with members of the Enrollment Management & Admissions team across K–12 to ensure consistency in admissions procedures, family communication, events, and applicant experience.
- Perform other duties as assigned in support of the goals and priorities of the Enrollment Management & Admissions Office and Hawaii Baptist Academy.

WORKING CONDITIONS:
- Equipment Use: Vacuum cleaner, shampoo machine, broom, dustpan. Power, hand and stationary equipment and Tools in the school’s inventory. School vehicles (i.e. trucks, cars, and golf cart)
- Work Hours: Various shifts between 8:00 a.m. – 9:00 p.m., Monday - Friday.
- Mental Demands: Analytical and critical thinking ability, able to read tape measurements, electrical meters and other measuring devices, attention to detail, concentration.
- Physical Demands: Must be able to lift up to 50 pounds unassisted. Safely move items heavier than 50 pounds using proper equipment. Must be willing to work from a ladder or scaffold. Work in attics and/or other close quarters.
QUALIFICATION REQUIREMENTS:
- Spiritual: Must have accepted Jesus Christ as Lord and Savior of their life and; demonstrate a living relationship with Jesus Christ as described in “The Baptist Faith and Message”, the tenets of the Southern Baptist denomination.
- Skills/Knowledge: Must be able to read, write and verbally communicate in English. Must be able to understand and obey all posted safety regulations, shop rules, and warnings. Must possess a current, valid state of Hawaii driver’s license.

Custodian
JOB/POSITION TITLE: Custodian

STATUS: 12 Months (Non-Exempt)
HOURLY PAY RANGE: $16 to $20
PRIMARY PURPOSE:
Assist the Facilities Director with the maintenance of the school building, fixtures, and grounds.
ESSENTIAL DUTIES/FUNCTIONS:
- Sweeps, mops, and polishes floors.
- Dusts and polishes furniture, woodwork, fixtures, and equipment.
- Washes windows and walls.
- Vacuums and spot clean carpets.
- Empties and cleans waste receptacles.
- Cleans and maintains supplies in restrooms.
- Sets up tables and chairs for special meetings or events.
- Maintains custodial Supplies and equipment.
- Notifies management concerning need for repair to buildings and other facilities.

PRIMARY PURPOSE: To fulfill teaching expectations and classroom management as instructed by the teacher on leave
ESSENTIAL DUTIES/FUNCTIONS:
- Follow lesson plans provided by the Teacher on Leave to create a cohesive and consistent learning experience for students
- Take accurate attendance
- Manage the classroom effectively to encourage student participation, minimize distractions and maintain a positive learning environment
- Notify the office of any serious disciplinary issues and academic dishonesty situations.
- Report illnesses or injuries to the school nurse
- Provide a report of the classes covered to the Teacher on Leave
- Demonstrates a high degree of self-efficacy and holds themselves accountable for learner outcomes and advocates for their students.
- Works efficiently within existing learning structures and believes in the capability of their students to excel.
- Facilitates problem-solving.
- Serves as a role-model to students.
OTHER DUTIES/FUNCTIONS:
- Engage students to clean up after themselves and to be sure their areas are clean before they leave
- Turn off lights, equipment and air conditioners at the end of the day

SUBSTITUTE TEACHER QUALIFICATIONS/SKILLS:
- Knowledge of instructional methods appropriate for students at the respective grade level
- Desire and ability to work with students at the specified age level with diverse backgrounds and levels of ability toward accomplishing their educational goals
- Ability to organize tasks and manage time to meet many and varied deadlines; manage small and large groups of students in a classroom environment; and communicate effectively with students, including on potentially sensitive topics
- Working familiarity with assistive technologies; internet and email systems; and word processing, presentation, and spreadsheet software
- Familiarity with computers (PC and Apple) and their use in instruction to enhance student learning
